RAWALPINDI: QMS ISO 9001:2015 is a quality standard accepted worldwide. It is defined as a set of international standards on quality management and quality assurance developed to help companies effectively document the quality system elements needed to maintain an efficient quality system. They are not specific to any one industry and can be applied to organizations of any size. In this regard, the NUMS leadership has shown great motivation to build capacity of its staff to shape up NUMS management systems in conformance to ISO 9001 2015.

The Quality Assurance Directorate conducted its second round of advanced level two-day workshop on January 17-18 2019 for Quality Coordinators and on Jan 21, 2019 for Directorial cadre in Army Medical College. Brig Shazia Alvi, MOIC Family Wing CMH Peshawar being a certified and experienced lead auditor was invited as the resource person for the training. The Vice Chancellor and Pro Vice Chancellor showed vivid leadership commitment to implement ISO practices in the NUMS Secretariat to begin with. The resource person explained the benefits of ISO 9001:2015, Quality Management System and its ultimate impact on the processes of the organization.

More than fifty participants were trained in the three-day event. “Quality” was defined as ‘The totality of features and characteristics of a product or service that bear on its ability to satisfy stated or implied needs”. In simpler words, ‘Quality is not an act, it’s a habit’ (Aristotle) or in medical terminology, it becomes a reflex!

Through an interactive session and group exercises, implementation of the standard requirements was discussed and questions answered side by side. The Resource Person stressed on the fact that this exercise should not be taken as an additional and unnecessary burden but it is the best and most effective way to streamline operations and all existing tasks of the different directorates and departments to ensure continual improvement on the processes and procedures.

The ISO 9001-2015 standard highlights two management approaches ‘Risk Based Thinking’ and ‘Process Approach’ (Plan, Do, Check & Act, PDCA cycle). Through practical examples and group activities, defining the’ Organization’s Context’ through NUMS’ vision and formulating Quality Policy based on NUMS mission was practiced. Significance if identifying ‘risk, its severity and mitigation’ was emphasized with relevant examples. Requirements for establishing system of documentation as per standard requirement and its usefulness in controlling, improving documentation and record maintenance for information retrieval were elucidated in detail.

Participants prepared Standard Operating Procedures (SOPs) & its representation in flow chart, Quality Objectives/Planning, Quality Policy, Key Performance Indicators (KPIs), Job Description (JDs) of employees, Non Conformance Report (NCR) as per the guidelines of ISO 9001:2015 for practice during the two-day workshop while Directors made strategic plans in their one-day training. The detailed exercises were based on real time examples, which were presented by each group, followed by valuable comments from the resource person and other group participants as well. Pre-test and post tests revealed marked improvement in the understanding of the standard. Towards the end of the training, participants sketched the NUMS QMS and were excited to go back to their teams and start working on the implementation of the system to experience in reality the claims made by the international standard.

The resource person explained to the Directors that these sessions shall be followed by an ‘Internal Auditor’s certification training for the nominated Quality Coordinators to assure that quality becomes everyone’s business. After that, ‘Management Review Meetings’ and ‘Internal Audit’ will facilitate successful implementation of QMS, and ISO certification through third party audit can be achieved later. It was clarified that existing Quality Assurance/QEC Dte shall act as Quality Cell in NUMS and will initiate the ‘ISO Document I.D’ and act as resting place for all process, policy and procedure documentation from all over NUMS.

The valuable suggestions of participants on the workshop included; ‘Duration of this interesting training should be increased’, ‘It was good to hear so much medical jargon’, ‘Some home assignment can be given to be done within directorate’. In the closing ceremony, the audiences applauded the trainer for sharing knowledge and keeping everyone engaged in the activities.
